Leave Administration Manager
Summary: The Firm is committed to offering a competitive leave of absence program which allows attorneys and professional staff time off to manage their personal obligations. To this end, the Firm is in search of a Leave Administration Manager who will serve as an integral part of the Benefits team to manage all aspects of our leave program for colleagues in the US and International offices.

Qualifications:

  • Bachelor’s degree preferred.
  • Required: 7 years of relevant experience, ideally in a large law firm or professional services organization.
  • At least 2 years of supervisory or management experience required.
  • Strong working knowledge of Microsoft 365 with Intermediate to Advanced Excel skills.
  • Desired proficiency with Workday HRMS, SharePoint, and Smartsheets.
  • Effective communication skills, both oral and written, with the ability to engage with personnel at all levels.
  • Capacity to manage multiple competing priorities reliably.
  • Demonstrated track record of team-oriented leadership.
  • Exhibit a high level of customer service orientation.

Work Conditions:
Location: Washington, DC.
Core Hours: Monday – Friday, 9:00 am – 5:30 pm.
Predominantly remote work with at least quarterly in-office hours.
Duties and Responsibilities:

  • Oversee the daily administration of all firm leave programs and accommodations requests, including Parental Leave, Disability, and Workers Compensation, ensuring compliance with federal, state, and country-specific mandates.
  • Develop best practices to guide the leave process throughout its life cycle, encompassing new leave processing, communication, document review, return-to-work processes, follow-up, and accommodation requests.
  • Stay updated on regulatory changes and conduct periodic benchmarking exercises to ensure compliance with all applicable mandates. Recommend policy and procedure updates as necessary.
  • Develop and manage an effective mechanism for seamless monitoring and reporting of leave of absence data. Generate and distribute periodic leave reports to senior management and relevant stakeholders.
  • Manage and assess vendor relationships related to the leave process, including contract and service level review.
  • Coordinate with appropriate stakeholders to analyze, evaluate, and make decisions on all requests for accommodations.
  • Lead all applicable leave-related federal and state compliance reporting requirements.
  • Develop comprehensive leave communication packages to enhance understanding and education regarding leave eligibility, entitlement, and application procedures.
  • Collaborate actively with internal and external stakeholders to ensure fulfillment of leave of absence notifications, absence management tasks, and leave reporting requirements.
  • Work in partnership with the HRMS team to continually monitor and enhance the leave of absence module within HRMS.
  • Interface and communicate with personnel at all levels regarding all aspects of the leave process, including addressing questions, concerns, providing education, processing, and general knowledge. Serve as a subject matter expert on all leave programs offered by the firm.
  • Manage the daily workload for the Benefits Coordinator assigned to the leave process.
  • Perform other duties and special projects as assigned.
