Associate Life & Development Assistant
Primarily responsible for assisting in all aspects of Attorney & Alumni Relations activities. Work closely with Director of Attorney & Alumni Relations to support attorney onboarding, maintenance of records, and Bar admissions.
Responsibilities
New Lawyers
- Assist in preparation of biographical summaries of new associates and respond to questions regarding this information.
- Assist in preparation of arrival memoranda for incoming associates.
- Enter new lawyer hiring information in Workday database.
- Assist with orientation of new Washington lawyers, including office orientation tours.
- Prepare reimbursement notices and track payments to incoming associates relating to bar admission expenses, judicial clerkship payments, moving expense reimbursements. Prepare related correspondence as needed.
Bar
- Coordinate and organize all aspects of the firm's annual payment of D.C. Bar dues (review printout from the Bar and make corrections, preparation of payment spreadsheet for the Bar and payment request, prepare list of personal account charges).
- Track newly arrived lawyers and their bar admission status until fully admitted in D.C., including overseeing payment of dues as lawyers are newly admitted.
- Update Bar-related tracking documents.
- Track payment of voluntary bar memberships (such as ABA), as well as Maryland and Virginia annual renewals.
- Prepare verification of employment correspondence and affidavits in conjunction with Bar admissions for current and former lawyers and coordinate lawyer signing of same
- Respond to lawyer inquiries regarding firm policy and practice relating to bar memberships.
Alumni
- Assist in maintaining and updating lawyer alumni contact information in firm's database and add departing lawyer information.
- Assist in research to locate alumni for whom the firm's contact information is out of date.
General
- Maintain reference materials regarding lawyer language skills, federal court admissions, etc.
- Track responses to meeting/program invitations and track related expenses.
- Provide support to the Director during annual budget process in projecting expenses, based on past performance/activities.
- Hybrid as needed in-office.
- Performs other duties as assigned.
Qualifications
- Ability to proactively handle multiple competing priorities.
- Strong attention to detail, organizational and data entry skills.
- Excellent interpersonal skills and service orientation.
- Excellent written and oral communication skills; ability to interact in professional manner with attorneys and all levels of personnel.
- Microsoft Office proficiency, including Excel. Previous Workday and/or ViRecruit experience a plus.
- Bachelor's degree required.
- Previous professional office work experience strongly preferred.
